How The Childcare Hours Calculator Works
The Childcare Hours Calculator converts a regular daily childcare schedule into weekly, monthly and annual hours. It can also compare total booked hours with confirmed funded hours and show the privately paid hours that may remain.
The calculator is designed for nursery, preschool, childminder, breakfast-club, after-school and holiday-care planning. It does not verify provider availability or determine eligibility for a childcare scheme.
Step 1: Enter Your Childcare Days
Add the number of days on which your child normally attends childcare each week. Use the contracted schedule rather than only the days your child attended during a particular week.
Step 2: Add Daily Start And Finish Times
Enter the booked drop-off and collection times. The calculator works out the time between those points and subtracts any uncharged break selected.
Step 3: Add Additional Weekly Hours
Use the additional-hours field for regular care outside the main daily schedule. This might include a breakfast club on one day, occasional late collection booked in advance or an extra childminder session.
Step 4: Enter Annual Childcare Weeks
Add the number of weeks for which childcare is normally used. Full-year providers may operate for most of the year, while term-time settings, holiday clubs and preschool arrangements may cover fewer weeks.
Step 5: Include Confirmed Funded Hours
Enter the weekly funded hours and annual funded weeks agreed with your provider. The calculator limits funded hours to the total childcare hours entered, so funded hours cannot create a negative private-hours result.
Step 6: Add An Optional Hourly Rate
The hourly rate is used to illustrate the private value of the childcare hours that remain after funded hours. Actual invoices may differ where the provider charges fixed sessions, daily rates, meals, consumables or additional services.

Weekly, Monthly And Annual Childcare Hours
Childcare hours can be displayed in several ways. Each figure has a different purpose when comparing providers, planning work or estimating costs.
Daily Childcare Hours
Daily hours are calculated from the booked start and finish times. This figure helps determine whether the session covers travel, working hours and collection.
Weekly Childcare Hours
Weekly hours equal the daily schedule multiplied by the number of childcare days, plus any additional weekly hours. This is often the most useful figure for comparing a working pattern with funded childcare.
Monthly Childcare Hours
Calendar months do not contain exactly four weeks. The calculator therefore provides two possible monthly methods.
- Annual average: annual childcare hours divided by 12.
- Weekly equivalent: weekly childcare hours multiplied by approximately 4.345.
Annual averaging is usually more useful where childcare is used for fewer than 52 weeks. The weekly equivalent can help when a provider quotes a regular weekly schedule but invoices monthly.

How Funded Childcare Hours Affect Your Schedule
Funded childcare can reduce the number of hours a family pays for privately, but the funded schedule may not match the complete childcare booking.
Funded Hours And Booked Hours Are Different
Booked hours are the complete period reserved with the provider. Funded hours are the portion delivered through an eligible childcare entitlement. Any additional hours may remain privately payable.
Term-Time Funding
A funded entitlement may be expressed as a number of hours per week over standard term weeks. Families using childcare throughout the year may therefore have privately paid hours during school holidays or provider-specific non-funded periods.
Stretched Funding
Some providers allow annual funded hours to be distributed across more weeks. This generally reduces the funded hours available in each week while preserving the annual allocation.
Funded Hours Across Different Providers
Families may sometimes split funded childcare across more than one eligible provider. The total use must remain within the applicable entitlement and local arrangements.
Additional Charges
Funded childcare does not necessarily cover every service included in a wider childcare booking. Meals, consumables, additional hours, outings or optional activities may be treated separately.
Families in England can review official childcare support through the Childcare Choices service. Different funded-childcare systems apply in Scotland, Wales and Northern Ireland.
How To Compare Childcare Schedules
Two childcare arrangements may have similar weekly hours but produce very different annual totals, costs and practical coverage. Compare the complete schedule rather than only the daily opening times.
Compare Contracted Hours
Use the hours for which the place is reserved and charged. A provider may require a full session even when your family needs only part of it.
Compare Annual Opening Weeks
A full-year nursery may operate for significantly more weeks than a term-time preschool. A childminder or holiday club may have a different closure pattern again.
Include Travel And Work Coverage
Check whether the schedule provides enough time to travel between the setting and work. A cheaper arrangement may not be practical if it starts too late or finishes too early.
Compare Funded-Hour Delivery
Providers can offer funded hours in different sessions and weekly patterns. Confirm whether the proposed funded schedule matches the days and times your family needs.

Add realistic travel time between home, childcare and work. Include additional time for parking, public transport delays and handovers.
Check Earliest Drop-Off And Latest Collection
Confirm when your child can actually enter and leave the setting. Published opening hours may be broader than the sessions available for a particular age group.
Plan For Work Variations
Consider meetings, shifts, overtime, commuting changes and occasional late collection. Where possible, identify a backup arrangement rather than relying on repeated emergency extensions.
Include School And Holiday Differences
Term-time childcare may not cover school holidays, inset days or early finishes. Calculate holiday care separately and add those hours to your annual plan.
Review Sibling Schedules
Children of different ages may attend different settings. Separate drop-off and collection points can increase travel time and create gaps between childcare sessions.
